My client is seeking to expand their delivery team with the hire of a Facilities Manager type professional to oversee the planned and reactive maintenance needs for luxury residential properties within their portfolio.

Facilities Manager

• Reporting to the Company Chief Engineering Manager, MEP Director, and Managing Director
• Direct Reports: Facilities Management Supervisor, Facilities Management Operatives, Pool Servicing Operatives and AC Technicians who sit within the FM team structure.
• Supporting and managing facilities management division of the business including:
• Plan and monitor the daily schedule of the PPM team.
• Oversee pool services, including scheduling for villa with the arrivals and departures.
• Coordinate client requests related to PPM, repairs, maintenance, and pool services and ensure they are actioned in a timely manner.
• Prepare updates for the client PPM Weekly Meeting and the client Property Management Meeting.
• Develop workload plans for Facilities Management.
• Prepare cost estimates and procurement details, including material orders and purchase order requests.
• Generate invoices and manage monthly billing.
• Compile and prepare employee timesheets.
• Address daily concerns and requests from clients as they arise.
• Conduct technical reviews of emerging issues and generate technical reports and maintenance documentation as needed.
• Assist with the monthly monitoring and reporting to company’s senior management
• Ensuring FM team inspections, for PPM, pools and AC are all scheduled and completed in accordance with schedule and with the Fieldview system.
• Have experience of time and materials billing
• Management of facilities management software (Field view) which is used to record all facilities management inspections
• Lead technical reviews of issues arising from daily planned preventative maintenance inspections
• Liaise with client during weekly property management meetings, reporting on problems and issues found.
• Act as the “Site” point of contact for all planned preventative maintenance/FM issues internally at the company
• Ensuring that facilities meet compliance standards.
• Ensuring Health and Safety for Staff and those working around Staff
• Ensuring that basic facilities are well-maintained and that the company are conducting proactive maintenance to a level which the business expects.
• Budget tracking and management
• Stock Management
• Lead on the procurement of facilities management materials required to complete inspections
• Experience of client liaison.
• Preferably have “hotel” or luxury “resort” experience
• Have experience of quality control and assurance.
• Any other reasonable duties as directed by the Chief Engineering Manager, MEP Director, or MD.
